Connect Notion with
ChefDesk SOP Manual
Sync your checklists, tasks, and process documents bidirectionally between ChefDesk and Notion. Keep your team aligned across both platforms.
What You Can Sync
Checklists
Daily opening/closing procedures, shift checklists with completion status and shift assignments.
Tasks
Kanban tasks with status, priority, descriptions, due dates, and assignment tracking.
Processes
SOP documents, process guides, and training materials with content and document type.
Set Up on Notion
Create a Notion Integration
Go to notion.so/my-integrations and click '+ New integration'. Give it a name like 'ChefDesk SOP Sync', select your workspace, and click Submit.
Copy the Integration Token
After creating the integration, you'll see an 'Internal Integration Secret' (starts with ntn_ or secret_). Copy this token — you'll need it in ChefDesk.
Create Notion Databases
Create separate databases in Notion for each entity you want to sync. You'll need up to three databases: one for Checklists, one for Tasks, and one for Processes.
Share Databases with Your Integration
Open each database, click the ••• menu (top-right), go to 'Connections', and add your 'ChefDesk SOP Sync' integration. This grants the integration permission to read and write data.
Copy Each Database ID
Open a database in Notion as a full page. The URL will look like: notion.so/your-workspace/[DATABASE_ID]?v=... — copy the 32-character ID between the last '/' and the '?'.
Configure in ChefDesk
Navigate to SOP Manual Settings
Open the SOP Manual from your Dashboard or Tools page. Click on the 'Settings' tab in the top navigation bar.
Enable Notion Integration
In the Settings tab, find the 'Notion Integration' section. Toggle the integration to active, then paste your Notion Integration Token in the API Key field.
Add Your Database IDs
Paste the Database IDs you copied from Notion into the corresponding fields: Checklists Database ID, Tasks Database ID, and Processes Database ID. You only need to fill in the ones you want to sync.
Save and Start Syncing
Click 'Save Integration' to store your settings. Now go to any tab (Checklists, Tasks, or Processes) and you'll see a 'Notion Sync' button in the header. Use it to Push data to Notion or Pull data from Notion.
Auto-Created Notion Properties
ChefDesk automatically adds these columns to your Notion databases on the first sync. You don't need to create them manually.
Checklists DB
- Name — Item title
- Checklist — Parent checklist name
- Status — To Do / In Progress / Done
- Shift — all / morning / evening
Tasks DB
- Name — Task title
- Status — To Do / In Progress / Review / Done
- Priority — low / medium / high
- Description — Task details
- Due Date — Deadline
Processes DB
- Name — Document title
- Type — markdown / pdf / word
- Content — First 2000 chars as body
Tips & Troubleshooting
Common Issues
- "Not found" error: Make sure the database is shared with your integration (Step 4 in Notion setup).
- "Unauthorized" error: Your integration token may be expired or incorrect. Regenerate it in Notion.
- Missing columns: ChefDesk auto-creates them on first push — run a push first before pulling.
- Pull not updating: Tasks are matched by title. Ensure the task name in Notion matches exactly.
Pro Tips
- Push first, then pull: Always push your data initially to populate Notion with the correct schema.
- Use full-page databases: Inline databases within pages may not work correctly with the API.
- Keep titles consistent: The pull sync matches records by name — avoid renaming items in only one platform.
- One integration, multiple DBs: You only need one Notion integration token for all three database types.
